Material traceability allows a buyer to connect a finished item to the material used to produce it. The depth of traceability should reflect product risk, but the principle is consistent: records must follow the material through receiving, storage, processing and final inspection.

Define what must be traceable

Start with the specification, grade, standard, condition, dimensions and required test results. Decide whether traceability is needed by heat, batch, coil, sheet, resin lot or another unit. Include this requirement in the purchase order and drawing notes.

Review certificates critically

A material certificate should identify the producer, material designation, batch or heat number and relevant chemical or mechanical results. Check that the document refers to the supplied material and that values are consistent with the specified standard.

When independent testing is required, define the sampling method and laboratory qualification before production begins.

Follow identification through the factory

Traceability can be lost when raw material is cut into smaller pieces or moved between work areas. Ask how the supplier transfers identification and separates similar grades. The method may use tags, markings, travellers, barcode labels or controlled storage locations.

Connect records to the shipment

Final inspection reports and packing lists should provide enough information to connect shipped goods to production records. For higher-risk work, agree a document package and retention period in advance.

Traceability does not replace inspection. It makes inspection findings actionable by showing which material and which production lot may be affected.
